This site is operated by SoapBox Systems LLC (“we”). It describes our product, SoapBox EMR. It is not a patient portal and it does not collect patient health information.
What this site collects
This site does not have accounts, forms, or tracking pixels beyond ordinary web-server logs (IP address, browser, pages requested) that our host may retain to operate the site.

Product email (SoapBox EMR)
When a clinic uses SoapBox EMR, the product sends transactional, one-to-one email triggered by a clinic or patient action: sign-in links, appointment reminders and confirmations, and receipt copies. We do not send marketing, newsletters, or mail to purchased lists.
- Staff addresses come from accounts the clinic creates.
- Patient addresses come from the clinic’s records after the patient provided the address for care.
- We do not sell or rent addresses.
- Hard-bounced and complained addresses are suppressed and not mailed again.
- Patients can ask their clinic to stop reminder mail. Staff accounts can be deactivated by the clinic.
Product text messages (SMS)
When a clinic uses SoapBox EMR, the product can send transactional text messages to a patient’s mobile number on behalf of that clinic: appointment reminders and appointment openings from a waitlist the patient joined. We do not send marketing text messages.
- Mobile numbers come from the clinic’s records after the patient provided the number to the clinic for care.
- Message frequency varies with the patient’s appointments. Message and data rates may apply.
- Reply STOP to stop text messages. Reply HELP for help, or contact your clinic.
- We do not sell, rent, or share mobile numbers with third parties or affiliates for marketing or promotional purposes.
- Text-message opt-in data and consent are not shared with any third party, except the messaging provider that delivers the messages.
Product data and HIPAA
When SoapBox EMR is used by a clinic, that clinic is the covered entity for its patient records. SoapBox Systems LLC acts as a business associate. Product privacy, security, and HIPAA terms are in the clinic’s written agreement and business associate agreement with us. They are not this page.
